Understand file upload field

The File upload field enables your users to upload a file while submitting their data through your form. Your users can select the file either from their device (present in the device's local storage) or from any of supported cloud storage services. Below is how a file upload field looks on a form:

  • When a user accesses from a web browser:

  • When a user accesses from a phone or tablet:

The files that your users submit through your form are stored in your account and are counted towards your account’s total storage limit. Refer your Account Setup > Data Administration > Usage Details page to view your current storage details.

Size Limits

  • When a user accesses from a web browser, a file upload field accepts a file of size up to 50 MB
  • When a user accesses from a phone or tablet, a file upload field accepts a file of size up to 5 MB

On accessing from a web browser

Below is an example of a file upload field when a user accesses from a web browser. Subject to the Browse Options you enable for your field, your users can upload a file as follows. Refer to this section to learn about setting file upload field's browse options.

Upload file from local storage

  1. Click the Upload icon. This will launch your device's file manager.
  2. Select the required file.

Alternatively, you can drag and drop the required file in the file upload field.

Upload file from Zoho Docs

  1. Click the Cloud Picker icon. The Cloud Picker pop-up window will appear, displaying all files and folders present in your Zoho Docs.
  2. Select the required field, then click Attach.

Upload file from Google Drive

  1. Click the Cloud Picker icon. The Cloud Picker pop-up window will appear.
  2. Select Google Drive on the left. If you had previously connected with your Google account, the files and folders from your Google Drive will be displayed, and you will be taken to step six.
  3. Click Authenticate Google:

  4. Enter your Google account's credentials.
  5. Grant Zoho Corp the permission to view and manage the files in your Google Drive. This will then display all the files and folders from your Google Drive in the same pop-up window.
  6. Select the required field, then click Attach.

Note:

  • You can connect with multiple Google accounts. To do so, click Sign in as a different user near the top-right corner of the Cloud Picker pop-up window.
  • You will be able to upload files from your Google Drive till Zoho Corp has access to your Google accounts. Refer to this page to learn more, including removing this access.

On accessing from a phone or tablet

Below is an example of a file upload field when a user accesses from a phone or tablet. Subject to the Browse Options you enable for your field, your users can upload a file as follows. Refer to this section to learn about setting file upload field's browse options.

To upload a file, tap on the file upload field and then you can do either of the following:

  • Tap Choose Photo
    1. This will open the image gallery of the device
    2. Select the required image. This will close the image browser and let your user preview the selected image in the file upload field.
    3. Tap on the selected image, then,
      • Tap View File to view (in full) the selected image. Tap Done to return back to the form.
      • Tap Remove File to remove the selected file from the file upload field
      • Tap Cancel to retain the selected image (in the file upload field)
  • Tap Browse
    1. This will open the recently accessed files in your user's device. (Tap Cancel, on the top-right of the device's screen, to cancel uploading a file)
    2. Tap Browse, then select the required file

Features

You can perform the following customizations for the user experience of the file upload field on a form:
  • Set the browse options: This defines the sources from where your users will be able to select the file when they access the file upload field
    • Local Computer refers to files stored locally on the device (computer, phone, or tablet)
    • Zoho Docs refers to file stored in a Zoho Docs space. Your user will be able to log in to their Zoho Docs space and select the required file
    • Google Drive refers to files stored in a Google Drive account. Your user will be able to log in to their Google Drive space and select the required file.
  • Customize the field name and field link name of this field
  • Make it mandatory for your users to upload a file in this field
  • Show the field only to the app’s admin (and hide it from other users)
  • Set the field size
  • Enable displaying a tooltip message when your users hover their mouse over the field

Limits

When you access file upload fields via the form’s published URL or customer portal:

  • The field will be disabled when it is configured to accept files only from cloud storage services (Zoho Docs and Google Drive)

  • Just the Upload icon will be shown when the field is configured to accept files from both, local and cloud storage
