  • What is Zoho Flow?

    Zoho Flow is an integration platform that lets you create customized workflows across cloud applications. You can connect your apps together to automate data transfer between them. To learn more, refer to our help documentation.

  • How do I create a Zoho account?

    Sign up for Zoho here using your email address. You can also access Zoho using your Google or LinkedIn account.

  • Do I need to create a separate account for Zoho Flow if I already have a Zoho account?

    No, you don't have to create a separate account for Zoho Flow if you already have a Zoho account. All you need to do is go to flow.zoho.com, create an organization, and start creating flows.

  • What should I do if I don't receive a verification email?

    You may have entered an incorrect email address, or the verification email might have been filtered into spam or trash. You can try checking all of the folders in your mail, in addition to verifying that you have entered the correct email address.

  • What apps can I connect on Zoho Flow?

    Zoho Flow supports a number of Zoho and third-party applications. You can view the entire list of apps here.

Flow and Functionality

  • What is a flow?

    A flow is a workflow created to link different cloud applications together to automate data transfer. An event triggers the flow and causes actions in other apps. A flow can have one trigger and multiple actions.
    ​For example, when a new ticket is received in Zoho Desk, the flow can notify your team in Slack. Here, receiving the ticket is the trigger of this workflow, and sending a Slack message is an action.

  • Can I have multiple triggers and actions in my flow?

    A flow can have one trigger and multiple actions. The actions are independent of each other and will be executed sequentially.

  • What happens to my data if the flow is deleted?

    When a flow is deleted, the workflow stops, and no further updates will occur. However, data updated in the other apps when the flow was live will remain.

  • Can I sync data between two apps?

    Zoho Flow can't sync data between two apps. As an alternative, you can create two flows, one the reverse of another with filters. However, be cautious of creating a flow loop.

  • Can Zoho Flow execute workflows based on historical data in an app?

    No, past data cannot be used to trigger a workflow.

  • Is there a limit on the number of executions in Zoho Flow?

    Your executions will be limited by the number of tasks in your plan. Zoho Flow supports 300 executions per minute for an app trigger and 100 executions per minute for a webhook trigger. If you run out of tasks, your flows will be switched off. You can purchase an upgrade to resume your flows. Another reason that could affect your executions is the API limits of third-party apps. Unfortunately, Zoho Flow does not have any control over this.

  • How does a fetch action work if I enter multiple search inputs for the same action?

    A fetch action takes a search input and provides the details of the record associated with that input from an app's database. The logic used for fetching records using multiple inputs could vary between apps. For example, if you provide two unique fields as inputs, say Email address and Name, the search will try to find a record that matches both the Email address and the Name or a record that matches either the Email address or the Name. The best practice is to use as little unique field inputs as possible.

Apps and Connections

  • What is a trigger?

    A trigger is the event that initiates a flow's execution. There are six types of triggers:
     

    • App Trigger: Triggers when an event occurs in an app. For example, when you receive a support ticket in Zoho Desk, a message is sent to your team chat in Slack. Here, receiving the ticket is the triggering event.
    • Schedule Trigger: Triggers a one-time or recurring flow, on your customized schedule.
    • Webhook Trigger: Triggers when a data update is made in the application in which the webhook URL is configured
    • URL Trigger: Checks a URL periodically and triggers flows based on its response
    • RSS/Atom feed Trigger: Starts a workflow when new data is added to a specified RSS or Atom feed.
    • Email Trigger: Parses incoming emails to trigger a workflow.
  • What is an action?

    An action is a task executed by the workflow as a result of a trigger.
    ​For example, you might have a flow that sends a message to your team chat in Slack when a support ticket is received in Zoho Desk. Here, sending a Slack message is an action.

  • What do I do if I have reached the maximum limit for authtoken for a Zoho app?

    Go to your Zoho Accounts page and delete the unused authtokens for that specific app. You can now generate a new authtoken. Keep in mind that connections using the deleted authtokens will no longer be valid.

  • How can I add my app to Zoho Flow?

    Developing apps is done internally by our team for now. We need the following details to add your app to Zoho Flow:
     

    • Product name
    • Product logo (a square, transparent logo, at least 256*256px in size
    • Product description
    • REST API documentation
    • Authentication scheme
    • List of triggers and actions
    • Developer terms of service
    • Test account

  • Is there a limit on the number of connections I can create?

    There is no limit on the number of connections in an organization. You can create as many as you want.

Administration and Collaboration

  • Can I be a part of more than one Flow organization?

    Yes, you can create an organization of your own and also be a part of multiple other organizations owned by others.

  • How many members can I add to my organization?

    You can add as many members as you want to your organization. If you are a part of Zoho One, then your Zoho One limits will apply to Zoho Flow.

  • Can I exit an organization?

    Yes. In Manage Organizations, you will find the list of organizations you belong to. Click Leave Organization to exit.

  • Can I rename a Flow organization?

    You can rename an organization only if you are the owner or an admin. To rename, navigate to Settings > Organization Profile, edit the organization name, and click Save.

  • What do I do if my invitation to a Zoho Flow organization expires?

    Contact the admin or owner of the organization to receive your invitation again.

Data Privacy

  • Is my data safe?

    Yes, we adhere to a strict privacy policy when handling your data. You can choose to deny access to your data anytime.

  • Will you store my credentials/data?

    Your credentials will be encrypted and stored in our database, so you don't have to enter them each time. When you delete a connection, the credentials associated with it will be deleted from our database. However, this will not affect data updates made in the app or the history of flow executions when the connection was active.

  • Who can access the connections I've created in the Flow organization?

    The connections you create will be accessible to the owner and admins. You can share your connections in Settings > Connections to allow all members of your organization to access data in your account through Zoho Flow.

Account and Pricing

  • Is Zoho Flow a part of Zoho One?

    Yes, Zoho Flow is a part of Zoho One. You can view the plan details here.

  • What do I do if my tasks for the month are exhausted?

    You can purchase an add-on or upgrade your plan. Check our pricing page for more details.

  • Can I upgrade/downgrade my pricing plan?

    Yes. Zoho Flow is a pay-as-you-go service, so you can switch plans at any time. Log in to Zoho Flow, click on your profile icon in the top right corner of your Zoho Flow organization, then click the Upgrade or Subscription link adjacent to Plan Details to switch to a new plan.

  • How long are add-ons valid?

    Add-ons are valid only for the subscription cycle you purchase them in. Once your tasks are replenished in the next cycle, the add-ons become invalid. Note that the add-on you subscribed for will be replenished along with the tasks in the next cycle, until you opt out.

  • Can I purchase multiple add-ons in the same month?

    Multiple add-ons in the same category cannot be added together. You can only upgrade or downgrade to a different add-on. For example, if you upgrade to a 10000 task add-on after purchasing a 5000 task add-on, your total task add-on count will be 10000. Your payment will also be adjusted to reflect the price difference between the tasks that you've added.

  • I am a Zoho One user. Why do I get the message that my trial for Zoho Flow has expired?

    If you see this message, you may not have mapped the Flow organization with your Zoho One account. Learn how to do this.
